Buying industrial equipment from China can be intimidating — but with the right approach, it’s straightforward and cost-effective. Based on shipping machines to 12+ countries over 10 years, here’s our complete guide.

Step 1: Vet the Supplier

What to check before sending any money:

CheckWhy It MattersHow to Verify
Registered companyAvoid personal tradersAsk for business license photo
CE / ISO 9001EU/global safety complianceAsk for certificate PDFs
Factory, not trading companyBetter pricing, direct supportAsk for factory photos, video call
Existing customers in your countrySmooth import and after-salesAsk for references
Clear payment termsProtect your deposit30% deposit + 70% before shipment is standard

Red flags to avoid:

  • “Friend/family” operation with no company registration
  • Refuses to show factory or provide certificates
  • Requests 100% payment upfront
  • No WhatsApp / WeChat for direct communication

Step 2: Sample Testing (Critical!)

Don’t skip this step. Any serious supplier will test-weld your material samples for free.

Send these to the supplier:

  • 2–3 pieces of your actual workpiece material (100×100mm minimum)
  • Mark the joints you need welded
  • Include a photo of the finished weld appearance you’re targeting

What you’ll get back:

  • Photos + video of the test weld
  • Welding parameter report (power, speed, wire feed settings)
  • Your sample pieces back if you provide a return address

If the test weld doesn’t meet your requirements, move on — no shame, no cost.

Step 3: Payment Terms

Standard industry terms (China → Overseas):

StageAmountWhen
Deposit30%After sample approval, before production starts
Balance70%After machine photos + test video sent, before shipment

Never pay 100% upfront. Never use Western Union or MoneyGram for deposits — use T/T (bank wire) or Alibaba Trade Assurance.

Payment methods:

  • ✅ T/T (Telegraphic Transfer) — bank wire, most common
  • ✅ Alibaba Trade Assurance — buyer protection, recommended for first-time orders
  • ✅ PayPal — small amounts only (<$1,000), 5% fee

Step 4: Shipping

Two main options:

What’s NOT included (you pay locally):
